To set up an email account in Outlook 2010 is very straight forward. You get started by clicking the orange File button. This will show the new file-menu system. Here you can add and edit accounts, cleanup your mailbox and create Rules and Alerts. All you’re existing accounts (if any) will show up in the top part of the window.
In this article we’ll be setting up two account types:
- POP3/SMTP account
- Windows Live/Hotmail account
[UPDATE] Added Pop3 Information for Hotmail accounts.
There are Two ways to start the wizard. The first is to click on Add Account below the Account Information Heading. The second is to press the button called Account Settings. the difference between the two is that the first will open the Auto Account Setup Wizard where as the Account Settings Button will open the Email Accounts overview window first. If you have any experience using Outlook both windows will look familiar to you.
Click Add Account to start the wizard.
That starts the wizard which will guide you through the process. You have two choices: Fully automatic and the manual way. If you have an email account that follows the “normal” settings Outlook can try to guess the server settings for you. All you do is add your name, email, password and let Outlook do the rest. Funny enough this just works, but for now we’ll skip right to the Manual setup:
- Choose Manually configure server settings or additional server types
- Click next.
- In the next Window, fill out all the necessary information as needed. Name, Email, Account Type, incoming and outgoing sever as well as the Logon information. If you don’t have all this, you can get it from your ISP or network manager.
- Then it’s time to decide where your emails are to be stored. If you do not have any preferences at the moment, skip this step and use the Default setting: New Outlook Data File. However if you have a backup of an old pst-file from an earlier installation or another account, Click Existing Outlook Data File, then Click Browse. Lookup your file and Click OK.
- Click Next
- Click Finish, You’re Done!
- Back in the main window, click Send /Receive to check for new email.
Other Account Types
In this part we walked through the POP3 account type. Outlook 2010 also support Text messaging, Microsoft Exchange, Fax and others. If you have a Live or Hotmail account you can also set up Outlook to handle these, tho The new email client called Windows Live Mail (which ships with Windows 7) is better suited to handle this. My advice is use the Windows Live Mail for this, but if you don’t want to use more than one client, here’s how to do it:
Setting up a Hotmail or Live Email account in Outlook
There are Two methods you can use. If you want to use the Outlook Auto Setup feature you need to download a plug-in for Outlook which allows the Outlook Wizard to connect to the Hotmail (or Live) server.
The other method is setting it up manually using the POP3 method above. If you prefer the latter you can try using the following settings:
Pop3 Settings:
- Incoming Server (POP3 Server): pop3.live.com
- Incoming Server POP Port: 995
- Incoming Server POP SSL Encryption: Yes (On or Required)
- Outgoing Server (SMTP Server): smtp.live.com
- Outgoing Server SMTP Port: 25
- Outgoing Server Authentication: Yes (On – Use POP username and password or Hotmail credentials)
- Outgoing Server TLS or SSL Secure Encrypted Connection: Yes (On or Required)
Setting up using the Outlook Auto Setup Feature
- Open the File menu and choose Add Account
- Using the Account Setup Wizard, type in your live email account information
- Click Next
- Outlook needs to install a plug-in to handle These kind of email accounts, and if it’s not installed you will be promoted to download and install the plug-in. If you do not see this prompt, skip to step 8, otherwise Click Install Now.
Be aware that Microsoft still call this plug-in a Beta – so use with caution. - Your browser will open and the download will begin. When it’s done, install the plug-in.
- You will be asked to restart Outlook and upon restart you Outlook asks if you would like to add a Hotmail account (live account). Click Yes.
- Type in your live email account information and Next
- Outlook may take some time to communicate with the Live server, when done, you will find your new account in the list on the left pane.
There you go – you’re all set.

I followed the POP/SMTP part and it won’t work. More settings are needed which my ISP won’t know. Do i need SSL? Does my SMTP need encryption?

I followed all the steps and i can see all my emails but i can't send emails using my hotmail account in outlook why???
So you can receive emails then?
If so it's probably just your outgoing server settings.
Navigate to: File > Info > Account Settings > Account Settings… > Email Tab > Double Click your email account
Under Server Information/Outgoing mail server (SMTP), make sure it's set to smtp.live.com
Click More Settings… > Outgoing Server tab. Check the My outgoing server (SMTP) requires authentication box and select the Use same settings as my incoming mail server radio button.
Click OK > Make sure the 'Test Account Settings by clicking the next button box is checked and click next!
You should hopefully see a green tick next to Send test e-mail message.

I added my account but I don't have the option where I can “Deliver new messages to:” So now I have my Outlook Data file and my email seperate in my Outlook. Because of this my normal email account doesn't have desktop alert or my junk mail filter doesn't work along with other things. I would really like to get this fixed. Any solutions…
The option: “Deliver new Messages” is supposed to be in the “Add new account dialogue window”. If you don’t find it you may also choose which of the Accounts is your main Account by clicking the Orange FILE-tab.
– In the Account Information Window, click the ACCOUNT SETTINGS button.
– In the sub-menu, click Account Settings
– In the Account Settings Window, Click the Email-Tab
– Highlight the main email account and click “Set as Default”, found in the menu above it.
– You should also do the same with the Data File, Clicking the Data-File Tab and repeat the above steps.

I would suggest removing all accounts from Outlook 2010. Start again and when you setup your account and get to this page, be sure to select Existing Outlook Data File under 'Deliver new messages to' on the right hand side.

Make sure you import any emails from the pst file you are not going to use – so you don't loose any important emails.
Thanks I have started from scratch and selected manually entering the e-mail account. This time I did get the proper window with the option of selecting Existing Outlook Data File. Then followed all the steps out and now it works.

Help, I've set my emails manually using pop3 and it tests ok and tells me I have finished, but I cannot see any emails in my inbox when they come in. If a new email comes in it is shown (lightly highlighted in the bottom of the screen but once the highlight goes off I cant find where it has defaulted to. Fortunately, I am trying to set up the system at our new office and we can still receive the emails at our other office – but I think I would have thrown the pc through the window as I have spent hours also talking to my website designer to try to sort this out. Any help anywhere???

How did you setup the account in Outlook. Did you set it to use a new PST-file ?
Outlook is designed to add a mailbox to each PST-file making them independent of each other. Chances are that you will find your account-name in the left side menu with an Expand/collapse (black) arrow next to it.
Expand it and you should see the mailboxes associated with it.

Help. I set up my hotmail exactly as stated but now when I go to get a test message is says “Log onto incoming mail server (pop3): your incoming (pop3) email server has reported an internal error”. How do I fix that?

To set up a second account, Click the FILE-tab and then the Account Settings button. And again click the Account Settings link showing up.
Add your account as described in the article, and choose whether or not to use the same folder as the previous account or if you want to use a separate database.
Choosing which account to send emails from, you simply open a new email, then click the FROM button. This will allow you to choose which account to send from.
You may also design and use different “signatures” for the separate accounts.

Is this a public or private exchange server? (i.e. Gmail vs. the company you work for.) If it’s private, do you know who your Exchange Server admin is? I have Offic 2010. It has been working fine until yesterday and it stopped sending my emails. I can still receive them but no send. I opened up my regular Yahoo mail and was able to send my unsent emails through there. I just read your tutorial and am wondering if I should delete my email account and start a new one?

how can i restart Outlook, I just added a new account and the system tells me that I need to restart in order for the new account to take effect.
The easiest way is to close Outlook and open it again. If the account does not show up, a computer restart will help; however, cycling/restarting Outlook will work.
